The client seeks a dedicated Executive Assistant to help systematize workflows, manage client interactions, and support business growth.

About the Role: We are seeking a highly organized and proactive Bilingual Executive Assistant (English/Spanish) to support the administrative and operational needs of a fast-paced real estate business. The ideal candidate will have strong administrative, organizational, and systems-building skills, with a keen eye for process improvement. This role is crucial for systematizing the business, coordinating with clients, and managing essential backend operations.


Key Responsibilities

  • Handle everything outside of the business owner's top 20% responsibilities.
  • Take full ownership of all administrative and non-revenue-generating tasks.
  • Document existing business systems and innovate new ones to improve efficiency.
  • Coordinate with clients, schedule appointments, and manage communications.
  • Oversee transaction coordination and document management.
  • Support the business owner with personal assistant tasks, including travel booking and schedule management.
  • Organize and systematize the business for scalability and operational efficiency.
  • Ensure smooth and efficient client interactions, handling tough situations professionally.
  • Utilize and manage CRM software (preferably with real estate experience).
  • Be highly responsive to both the business owner and clients.

Preferred Qualifications & Additional Skills

  • Problem solver who takes initiative.
  • Experience with RingCentral.
  • Experience with real estate CRMs and transaction coordination.
  • Six Sigma Black Belt certification (strongly preferred).
  • Ability to build out systems and processes to improve business efficiency.
  • Ability to handle difficult clients professionally.
