Role Overview

We are looking for a proactive and detail-oriented Executive Coordinator who can handle a variety of administrative, scheduling, and production coordination tasks. The ideal candidate will be bilingual, highly organized, and capable of learning new systems quickly. You will be working closely with Joel and Norless, supporting their management styles by bridging communication gaps, managing calendars, handling financial tasks, and assisting with production planning.

Key Responsibilities

  1. Administrative Support:
    • Manage email correspondence, ensuring timely responses and follow-ups.
    • Assist with job cost tracking and data entry for business plans.
    • Maintain accurate and up-to-date records in company systems.
  2. Production Coordination:
    • Update and manage production calendars, scheduling crews and tracking job changes.
    • Document decisions made during meetings and coordinate updates with the operations manager.
    • Support scheduling for both sales and production activities.

  1. Financial and KPI Tracking:
    • Handle invoicing, tracking payments, and following up on outstanding invoices.
    • Monitor key performance indicators (KPIs) and assist in setting weekly business goals.
    • Prepare weekly reports for Joel to review progress and performance metrics.
  2. Calendar Management:
    • Organize and manage calendars for sales meetings and production schedules.
    • Coordinate appointments and adjust schedules as needed to maximize efficiency.
  3. Communication Bridging:
    • Act as a point of contact between English-speaking and Spanish-speaking team members and clients.
    • Ensure clear and effective communication across all stakeholders.

Candidate Requirements

  • Bilingual: Fluent in both English and Spanish (spoken and written).
  • Experience: Previous experience in a similar role (administrative, executive assistant, or production coordination).
  • Skills:
    • Highly organized and detail-oriented.
    • Strong communication and interpersonal skills.
    • Quick learner, comfortable with new systems and software.
    • Proficient in tools like Google Meet, Microsoft Office, and project management software.
