Job Overview

We are seeking a proactive and organized Bilingual Executive Assistant to provide administrative and coordination support for a growing construction business. The ideal candidate is fluent in both English and Spanish, with experience in QuickBooks and basic accounting. You’ll manage daily administrative tasks, track expenses, handle scheduling, and coordinate with on-site staff to ensure smooth operations.

Key Responsibilities

  1. Daily Administrative Tasks:
    • Input previous day's expenses into the company’s job system during the first two hours of each workday.
    • Manage and coordinate schedules, check leads, and handle customer inquiries in the next 2-3 hours.
    • Address to-do lists, invoice checks, and miscellaneous tasks throughout the rest of the day.
  2. Email Management:
    • Manage two email accounts: a general inbox and an invoice-specific account.
    • Respond to inquiries and coordinate between office and on-site teams.
  3. Coordination:
    • Communicate with on-site staff to ensure project readiness.
    • Occasionally make customer phone calls for scheduling and follow-ups.
  4. Basic Accounting and Expense Tracking:
    • Use QuickBooks for expense tracking and invoice management.
    • Ensure accuracy in daily expense reports and financial records.

Technical Requirements

  • QuickBooks experience is required and familiarity with Job Progress CRM is a plus (or willingness to learn).
  • Basic accounting skills, including invoice management and expense tracking.
  • Proficiency in both English and Spanish for communication with team members and clients.
