Job Description

The Project Coordinator will play a key role in ensuring smooth project execution, effective client communication, and efficient task allocation for freelancers and internal staff. The role requires strong organizational skills, attention to detail, and the ability to juggle multiple projects while maintaining high standards.

What we’re looking for

  • A minimum of 3 years of experience in a similar role.
  • Experience using CRMs and project management tools (e.g., Trello, Asana, or similar).
  • Exceptional organisational and time management skills, with the ability to juggle
  • multiple projects and deadlines.
  • Strong communication skills, both written and verbal, to liaise effectively with clients, freelancers, and the internal team.
  • Proficiency in Google Workspace (Gmail, Docs, Sheets, and Calendar)
  • Ability to adapt to changing priorities, work independently, and thrive in a fast-paced environment.
  • A proactive mindset with the ability to identify inefficiencies and implement Solutions.
  • Comfortable handling invoices, budgets, and client assets with accuracy and professionalism.

What you bring to the table

  • Strong attention to detail, ensuring accuracy and quality across all tasks, from client communications to project deliverables
  • Experience creating polished proposals, statements of work, and other client-facing documents.
  • Confidence in managing client emails, organizing inboxes with labeled folders, and ensuring all communications are timely and professional.
  • Strong administrative skills, including scheduling, meeting setup, and file organization using standardized naming and filing structures.
  • A collaborative mindset, working seamlessly with internal staff, freelancers, suppliers, and clients to ensure every detail is perfect and deadlines are met.
  • Initiative to upsell services and drive account growth while maintaining client satisfaction.














Bonus points for

  • Familiarity with creative workflows in branding, web, and print design.
  • Proficiency in Adobe InDesign.
  • Copywriting experience.
  • Prior background in a creative environment with knowledge of design processes.
  • Previous experience in customer service, sales or account management.
  • Expertise in prioritising and juggling multiple projects or clients simultaneously.
  • Track record of coordinating with international clients or teams across time zones.

Working in the burrow

  • This is a full-time permanent position, working 45 hours a week.
  • You'll collaborate directly with the Creative Director, internal team members, clients,
  • freelancers, and suppliers to deliver graphic design solutions across branding, print, and web.
  • This role is fully remote, requiring candidates to have a reliable internet connection, a mac computer and a suitable setup for on-camera meetings.
