About the Role
We are looking for a versatile and proactive Executive Virtual Assistant to join our team, supporting an Operations Manager in both business and personal endeavors. You will play a critical role in managing day-to-day tasks, developing processes, and contributing to the overall efficiency of business operations. This is a full-time role with flexibility for occasional night work during onboarding. Confidentiality is key, and an NDA will be required.

Operations Management Support:

  • Scheduling & Task Management: Coordinate project tasks and schedules using Slack and Google Workspace tools.
  • Data Reporting: Create detailed Excel and Google Sheets reports and dashboards to track performance metrics.
  • Email Management: Organize, prioritize, and handle email communications for streamlined responses.
  • Presentation Design: Design high-quality presentations in PowerPoint for team meetings and client engagements.
  • Process Improvement: Assist in building and refining business and personal processes to enhance efficiency.
  • Vendor Coordination: Handle logistics, vendor relationships, and procurement tasks.



Business & Personal Support:

  • Website Maintenance: Assist with building and maintaining websites for business needs.
  • Graphic Design: Create and edit visuals for social media, presentations, and marketing materials.
  • Scheduling & Travel Arrangements: Manage calendars, travel bookings, and other personal logistics.
  • Client Relations: Provide excellent customer service, supporting client and partner relationships.

Requirements:

  • Experience: Prior experience as a Virtual Assistant or in a similar administrative role.
  • Tech Skills:
    • Proficient in Excel, Google Sheets, and Slack for data management and team collaboration.
    • Familiarity with Microsoft Office, Google Workspace, and CRM software.
    • Basic graphic design skills (e.g., Canva or Adobe).
  • Soft Skills:
    • Strong multitasking, organizational, and problem-solving abilities.
    • Excellent English communication skills, both written and verbal.
    • Ability to create and refine systems for process efficiency.
  • Flexibility: Willing to work occasional night hours (Eastern Time Zone).
  • Confidentiality: Willing to sign a Non-Disclosure Agreement (NDA).
  • Growth Mindset: Adaptable, eager to learn, and ready to take on new challenges.

Preferred Skills:

  • Project Management: Experience using Asana or similar tools.
  • Basic Accounting: Understanding of invoicing, accounts receivable (AR), and accounts payable (AP).
  • CRM Systems: Familiarity with CRM software and automation tools.
