We are looking for a dedicated Executive Assistant to support our team and help manage the diverse tasks that come with the fast-paced world of travel planning. As the Right Hand of the client, you will be integral in streamlining operations and ensuring smooth communication. Your organizational skills and attention to detail will keep our travel schedules on track while providing excellent service to our clients.

Responsibilities:

Trip Scheduling:

  • Coordinate and manage travel schedules, ensuring all details are accurate and up-to-date.

Pre-Screening:

  • Conduct preliminary research on potential trips, including cruises and resorts.

Email Management:

  • Manage the executive’s inbox, prioritizing emails, and responding as necessary.
  • Remind team members of upcoming meetings, calls, and deadlines.

Note Taking & Research:

  • Attend meetings to take notes and follow up on action items.
  • Research various travel options, verifying client information and preferences.

Proposal Building:

  • Create and submit detailed travel proposals for client approval.

Itinerary Creation:

  • Develop comprehensive itineraries for clients, ensuring all travel arrangements are in place.

Social Media Management:

  • Assist with social media content creation and ad management.

List Management & Auditing:

  • Clean up and audit trip lists to ensure accuracy and completeness.

Template Creation:

  • Utilize tools like Travel E Solutions to create email templates and auto-generated responses.

Desired Skills and Experience:

  • Proven experience as an executive assistant or in a similar role, preferably in the travel industry.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Experience in trip planning and travel logistics is a significant advantage.
  • Familiarity with Canva for creating visually appealing content.
  • Excellent communication skills in both English and Spanish (preferred).
  • Proficiency in email management and the use of travel-related tools.



Maintain and update client records, ensuring accuracy and confidentiality.

Assist in preparing financial reports and tracking expenses. Semi-Monthly Payroll.

Ensure smooth workflow and enhance productivity by anticipating needs and taking initiative.

Proficient in Microsoft Office Suite or Google Docs, Sheets, Forms.

Ability to prioritize tasks to determine the most urgent.

Assist in the management of facebook groups to help engagement.
