About the Client

The client is a dual-certified nurse practitioner, holding board certifications as both a Psychiatric Mental Health Nurse Practitioner (PMHNP-BC) and a Family Nurse Practitioner (FNP-C). With over seven years of experience, she specializes in treating a wide range of mental health conditions, including depression, PTSD, anxiety disorders, mood disorders, and insomnia. Her approach emphasizes creating a safe, non-judgmental space and developing personalized treatment plans that integrate evidence-based practices and the latest advancements in psychiatric care .

Position Summary
We are looking for a detail-oriented and empathetic Admin Assistant to help manage patient communication, scheduling, and administrative support. This role will start as part-time with the potential to become full-time as the practice grows. The ideal candidate will have a strong command of English, experience in the medical field, be tech-savvy, and demonstrate patience and professionalism when interacting with individuals facing mental health challenges.

Key Responsibilities

  • Patient registration and intake coordination
  • Insurance verification and pre-authorization processes
  • Appointment scheduling and calendar management
  • Managing incoming calls and emails using Tebra EMR and Google Voice
  • Maintaining accurate daily schedules and census updates
  • Supporting efficient patient communication with empathy and discretion
  • Assisting with AI-supported documentation and administrative tasks

Ideal Candidate Profile

  • Fluent in English with excellent verbal and written communication (required)
  • Previous experience in a medical or mental health setting is highly preferred
  • Tech-savvy with the ability to quickly learn and use tools like Tebra EMR
  • Calm, compassionate, and understanding when working with mental health patients
  • Highly organized and capable of managing multiple tasks in a fast-paced environment
  • Comfortable using and supporting AI-assisted documentation tools
  • Proactive and adaptable as the practice scales
